• The course outline and the course Brightspace site will include the date and format of the deferred exams. Deferred exams can either be held during the midterm period or during the deferred final exam period determined by the School.
  • Professors will choose their preferred format for deferred exams and include the chosen option in the syllabus.
  • Deferred exam format options include:
    • Option 1: Same exam format and length with different questions.
    • Option 2: Alternate format (ex: essay instead of multiple-choice questions).
    • Option 3: Adding the percentage value of the missed exam to the final exam. This option is only applicable if the final exam covers the materials from the missed exam.
• Student must email their course professor and cc the program assistant [email protected] to inform them of their absence before the start time of the scheduled exam*. In this email, the student must provide a justification along with supporting documentation.
• The professor will communicate to the student whether or not their deferred exam request is granted.
  • In most cases, a justified request for exam deferral will be granted.
  • If the deferral is not granted, the student may be offered a withdrawal/retroactive withdrawal from the course with no reimbursement (unless requested before the drop date listed in the university calendar).
  • If the student does not receive confirmation from the professor, the student shall follow-up with the professor and cc:

• The time and location of the exam will be communicated by the program assistant to the professor or student.
• If the student is unable to write the deferred exam on the specified date, the professor may offer them a withdrawal or a DFR grade for the course as per standard process.
• Dates are determined by the School for midterm and final exam deferrals and are provided in Appendices 1, 2 and 3 for each campus respectively.

• Student must email the lab to inform them of their absence before the start time of the scheduled evaluation*. In this email, the student must provide a justification along with supporting documentation.
• Any unjustified absence will result in a NS or 0 for the evaluation.
• A retesting (deferral) date will be communicated by the lab.
• If the student is unable to complete the evaluation on the proposed date, they will be offered a withdrawal for the course with no reimbursement (unless requested before the drop date listed in the university calendar) or DFR grade for the course, to be taken at the next available offering.

*If the student is incapacitated and cannot make the request before the exam, they need to make the request and provide the documentation within 5 working days of the missed exam.

• Following a non-satisfactory (NS) scheduled lab evaluation, a learning plan will be created and uploaded on the Clinical Evaluation Online (CEO) to outline a remediation plan. This remediation plan must be completed to have access to the retest.
• The retest date will be predetermined by the lab schedule. This will be near (or at) the end of the rotation to allow the student adequate time to prepare.
• A second NS grade will result in an EIN for the lab component of the course and a NS for the course overall.
• If a student has exceptional circumstances that affected their ability to be successful on the retest, they can appeal for a 3^rd attempt through the grade review process, academic regulation A-9.

Proctoring will be provided by the School for the deferred midterm and final exam dates; for any other dates proctoring must be provided by the professor or included in the hours assigned to the Teaching Assistant (TA) of the course.

For students with academic accommodations, professors must submit the notice of examination (NOE) in time for the deferred exam at SASS to be held on the above dates except for deferred exams held on December 19th (at least 10 days before the scheduled deferred exam date).
